Discussion:
The City must find a software solution for Parks and Recreation facility rentals and program registrations to replace the existing Max Galaxy system which will sunset on October 12, 2021 and no longer be supported/accessible. The overall RFP suggests a system similar to our current system, but contemplates certain changes to the system and administration. Some of the highlights are:
1. Minimal service requirments of:
- Responsive technical, administrative, and financial support
- Redundant solutions to eliminate system down time
- Full PCI compliance: include upgrades as necessary to maintain
- Security of customer and financial information
- Meeting all agreed upon implementation milestones
- Consistent system updates to enhance user and customer experience
2. Recognizes the need for online options for customer self-service (program registrations, facility rentals, memberships, equipment rental, tickets/passes)
3. Specifies gateway and/or credit card processor integration with refund windows of 120 days or more preferred.
4. Prefers ability for integration using self-use kiosks, the City's website through Granicus, and client communication via email and links to social media.
5. Requests electronic signatures for agreements and waivers.
The RFP will be issued within one or two days after council approval, and will be due on March 12, 2021. After the due date, staff will review and begin to outline contract terms with a contractor with the intention being to have the council consider on May 18, 2021.
