Subject:
Upgrade the security access control panels at Fire Station #1, Fire Station #2, Public Works, and Police Station for the card reader system.
Policy/Action Requested:
Approve the upgrade project for the security access control panels at Fire Station #1, Fire Station #2, Public Works, and Police Station for the card reader system for $33,150.47.
Recommendation:
Approve the upgrade project for the access control panels at Fire Station #1, Fire Station #2, Public Works, and Police Station for the card reader system for $33,150.47.
Discussion:

The access control panels at Fire Station #1, Fire Station #2, Public Works, and the Police Station are due to be replaced due to age and lack of ability to repair the existing equipment. The current access control panels are no longer supported by the manufacturer, and we are finding replacement parts are no longer available from vendors. We have come to the point where we have used almost all of our old spare parts from previous buildings to get us by when a part has failed and is in need to replace.

Any future failures with the current hardware could result in employees access cards not being able to open doors and would need to fall back on key access until replaced. Physical building security is critical to employee safety, tracking access, protecting city assets, and providing employee access to only areas that are approved.

Budget Impact:
The amount of $33,150.47, plus a 10% project contingency for any unforeseen costs, has been budgeted and planned for in the 2023 IT budget for replacement. The funds will be used from the current IT Fund and the quote is following State Contract guidelines and pricing agreements.
